Case Study
ARSAC Database
The ARSAC teams sits within the Medical Exposures Group (MEG). ARSAC stands for The Administration of Radioactive Substances Advisory Committee, who are responsible for assessing applications for licences and research approvals from clinicians, and their employers, to administer radioactive substances to people as part of their medical diagnosis, treatment, or research.
The Challenge
ARSAC currently receives around 500 applications per year for licensing and 300 applications per year for research approvals.
ARSAC required a new system to manage and log specific details from each application, which are required to issue licences and research approval documents for use of radioactive substances.
The Challenge The MEG team tasked ap16 with replacing their existing MS Access database with the new system, they required a solution that would be supportable for a 5-to-10-year time frame.
MEG required a Web Server based solution that would be hosted within the UKHSA network. The new interface would be browser based and provide improved usability and more robustness over the previous system for multiuser access.
The Approach
ap16 facilitated workshops to determine the full requirements for this project.
We drafted a specification document and this was shared with the MEG team to ensure our proposal met their full requirements. The initial phase involved the migration of their current data to a modern database.
The next phase was to develop a modern front end to add new records smoothly, browse the data and find individual records quickly, manage and edit existing data, create reports on common queries and generate reports from saved templates.
Throughout the development phase we had ongoing check ins with MEG enabling the team to request adjustments the functionality and design as the project progressed.
The technology stack was fully revamped to ensure that the system would be supportable and extendible for the required time frame.
Our Solution
ap16 provided the MEG team with a modern application database. Their new front end enables them to add all relevant information about an application and record assessment outcomes, actions, communications and generate license files. In addition, they can query and report on this data.
The Future
We are commencing work to support the database and front end.
We are currently working on bulk deletion tasks to ensure their compliance with GDPR rules. The MEG team have also requested updates to some of their screens, filters and the addition of new data fields. We will continue to work closely with the MEG team to ensure their system stays current and user-centric
